Ez Tag Bulk Printing Guide

RFIDLinked supports printing Ez Tags in bulk by importing a CSV file containing your tag data.

Recap: Technical Notes on How Ez Tags Work:

1. Ez Tags allow up to 4 fields to be written, but requires at least the first field to be defined.
2. The first field gets encoded into the RFID chip within your tag.  Standard 96bit tags can encode up to 12 ASCII characters.  Because of this physical limit on the RFID chip, you cannot store more than 12 characters into the first field.
3. The remaining 3 fields (2 through 4) can store up to 32 characters each.

Preparing your CSV file

RFIDLinked supports reading CSV files for import with a few requirements:
  • Your file must be a UTF-8 encoded CSV file.
  • Your CSV file must contain at least 2 rows.
  • The first row of your CSV file is considered a "Header Row" and will NOT be imported
  • The first row / "Header Row" will be used to help identify and map columns within your CSV.
Although not required, we recommend downloading and using our Sample CSV file as a template for your data.

Step 1: Importing Your CSV file

Tap the "Select File" button to launch a file chooser.  Locate and select the CSV file you wish to import.

Once you've selected your file, RFIDLinked will do a preliminary read and check of the file.  If your file was able to be read and meets the requirements for import, you should see a success message.  Tap the "Next" button to continue.

Step 2: Mapping your CSV File Columns

The next step is to tell RFIDLinked which columns you want to import and use on your Ez Tags.  This is done by tapping the field you wish to map.  Unmapped field's are visually highlighted in red.

You will be presented with the first 5 rows of your CSV.  Using these rows as a guide, select the column that you want to populate into the Ez Tag field you selected.  If a row for the currently selected column is blank, it will be highlighted as *blank* for reference.

Repeat this process for each Ez Tag field you want to set.

Optional - Configure Which Fields are Printed / Encoded Into the Barcode:
This step is optional, but you have the ability to set which field is encoded onto the QR Code or Barcode printed on the label.  This is done by tapping on the Barcode icon to the right of your mapped fields.  NOTE: Only one field can be encoded into the QR Code/Barcode.

You can also select which field values will be printed onto the label by tapping the Printer icon next to each field.

Setting Field Labels:
By default the labels for each field on your EzTag default to "Field 1" through "Field 4."  If you would prefer to use more descriptive labels, you manually edit them by tapping the "EDIT LABELS" button.  Alternatively,  you can import the labels from the header row for each of the columns you previous mapped by tapping the "LOAD LABELS" button

Once you are happy with your mapping, tap the "NEXT" button to continue.

Step 3: Validation Check and Warnings

Once you have completed your field mapping, RFIDLinked will process your CSV file and detect any potential problems.  If any issues are found, it will present them to you for review.

There are two classification of problems: "Skipped Rows" and "Warnings"

Skipped Rows:
A row which has errors of this type will NOT be printed as tags.  Generally these types of errors include things like missing values for Field 1.  As noted above, Field 1 must contain a value as it is encoded into the RFID chip.

Warnings:
A row which contains a warning will not prevent it from being printed.  However you should review these for common mistakes that can occur when mapping your import file.  Typical warnings include:
  • Missing value: One of the rows you imported does not contain a value for the column mapped.  When printed this field will be blank.
  • Value Too Long: One of the rows you imported exceeds the maximum character length.  When printed the value will be truncated to the maximum allowed length.  This may or may not be the behavior you want.  If not, please revise your CSV file and re-import it.
If any changes need to be made, please adjust your original CSV file and re-submit it.  If no warnings are provided, or you are OK with the issues raised, tap the "NEXT" button to continue.

Step 4: Review and Post Print Actions

The final step in the import process involves visually the tags to be printed and setup any post print actions to be performed.

Review Tags:
A visual preview of the tags to be printed is displayed at the top.  You can tap the arrow buttons to scroll through the tags and verify things look as expected.  If you would like to modify any of the below properties tap the Edit Label button:
  • Switch the Label Layout - Original/QR Code based layout, or Asset Tag layout
  • Select which fields are printed/not printed on the label.
  • Select which field is encoded into the QR Code / Barcode.

Editing Label Settings
After tapping the Edit Label button, you can switch the Label Layout between the QR Code based layout, or the Asset Tag style layout.

Additionally, you select which field is encoded onto the QR Code or Barcode printed on the label.  This is done by tapping on the Barcode icon to the right of your mapped fields.  NOTE: Only one field can be encoded into the QR Code/Barcode.

You can also select which field values will be printed onto the label by tapping the Printer icon next to each field.

Post Print Options:
Post print options let you set what RFIDLinked will do with the tags after printing.  Available Options Include:
  • No Action: After printing nothing will be done with the tags.
  • Create File: After printing, a new file with the name provided will be created, and the tags will be saved into the file.
  • Add To File: After printing, the tags will be added and saved into an existing file which you select.
