Creating Product Definitions

Before You Begin

Before creating a Product Definition, it’s important to ensure a few key concepts and configurations are already in place. This will help streamline the setup process and ensure your product data is complete and well-structured.

1. Understand What a Product Definition Is

A Product Definition represents an individual item in your system - similar to a SKU - and serves as the basis for how your product is identified, labeled, and tracked. Learn more about Product Definitions

2. Know the Two Types of Product Definitions and Which is Right for You

There are two supported formats for Product Definitions:

  • Retail (SGTIN-96)  Standard retail tagging format used for serialized items following GS1 specifications.

  • RFIDLinked Pro Tags  A flexible internal tag format optimized for use with the full feature set of the RFIDLinked platform.

3. Set Up Any Required Custom Fields

If you plan to track additional data - for example product sizes, cost, etc... make sure those Custom Fields are already defined in your account. Custom Fields must be created before they can be associated with a Product Definition. What are Custom Fields?


Creating Product Definitions via Mobile App

This guide walks you through creating a Product Definition using the RFIDLinked mobile app.

Step 1: Navigate to Product Definitions

  1. From the Home screen, tap Settings.

  2. In the Settings menu, tap Product Definitions to view all previously created Product Definitions.

  3. Tap the hamburger menu (☰) in the top right to open the Action Menu, then tap Add.

Step 2: Select the Product Definition Type

You’ll be prompted to choose the type of Product Definition you want to create:

  • Retail (SGTIN-96)  GS1 based retail encoding.

  • RFIDLinked Pro Tag  Internal format with greater flexibility (no GS1 identifiers required).

Step 3: Enter Basic Product Information

Enter the following:

  • Name A clear, descriptive name for your product.

  • Description  Any relevant details or context for identifying the product.


Step 4: Provide Retail (SGTIN-96) Identifiers (if applicable)

If you're creating a Pro Tag, this step is not required.
If you're creating a Retail (SGTIN-96) Product Definition, you'll need to provide its GS1 identifier. You have two options for entering this:

Option A: Using a Known GTIN, EAN, or UPC

  • If you know the GTIN-14, enter the 14-digit number directly. RFIDLinked will decode it into the Company and Product Identifiers.

  • If you have an EAN-13, add one leading 0 to convert it to GTIN-14.

  • If you have a UPC, add two leading 0s to convert it to GTIN-14.

Option B: Entering GS1 Company and Product Identifiers

  • Tap the "From GS1 Identifiers" tab.

  • Manually enter the Company and Product identifiers.

  • RFIDLinked will automatically generate the correct GTIN-14 from these inputs.


Step 5: Associate Custom Fields (Optional)

By default, new Product Definitions have no Custom Fields attached.

  • Tap Add Field to associate one or more Custom Fields with your Product Definition.

You have two ways to add fields:

  • Use Existing  Select from Custom Fields already created in your account.

  • Create New  Create a new field directly in-line without leaving the workflow.

Choose Static or Dynamic Value

When adding a Custom Field, you must decide how its value behaves:

Static Value

Use this when the value is the same for every tag printed from this Product Definition. 
Examples:

  • Size: 250 ml

  • Color: Red

  • Price: $9.99

Dynamic Value

Use this when the value may change on a per tag basis.  Using this option also allows you to edit and update the value of the field on a per tag basis after printing.
Examples:

  • Asset ID

  • Owner

  • Location

Entering a value is optional; it will be used as the default if no other value is provided during printing.

NOTE: During tag printing, you’ll be prompted to enter values for any dynamic fields.

Step 7: Configure Serial Number Settings

RFIDLinked automatically assigns and tracks unique serial numbers for each tag you print.

  • By default, serial numbers start at 1 and increment by 1 for every tag printed.

  • You can change the starting serial number if desired.

NOTE:  Once a starting serial number is set, you cannot print tags with a lower serial number. This ensures that no duplicate serials are generated.
