Printing RFID Tags using Product Definitions

Printing RFID tags using Product Definitions is a core feature of RFIDLinked. It brings together all the foundational setup you’ve completed - Product Definitions, Custom Fields, and Label Designs - and allows you to generate fully encoded, scannable RFID tags that match your business needs.

This guide provides a walk-through of the printing process, fully explaining each step along the way.


Before You Begin

Before you can start printing RFID tags, make sure the following setup steps have been completed:

  1. Set Up Your RFID Printer
    Your printer must be added and configured in RFIDLinked.

  2. Create Product Definitions
    Product Definitions define the item you're printing tags for and must be set up in advance.

  3. Design Your Label Templates
    RFIDLinked provides out of the box label templates that you can use, but we recommend you create or customize these to better suit your Business and use case.

  4. (If Applicable) Bulk Printing
    If you're planning to print large batches of tags, refer to the bulk printing guide.


Overview of the Printing

Here’s a high-level view of the process for printing tags using Product Definitions in RFIDLinked:

  1. Select a Product Definition
    This defines the item the tag represents, along with any associated static or dynamic data.

  2. Choose a Label Design
    Select from the list of label templates you've created using the Label Designer.

  3. Configure Print Options

    • Choose your printer (if more than one is available).

    • Select optional post-print actions, such as adding the printed tags to a file.

    • Adjust serialization settings, if needed (advanced use only; not required for typical printing scenarios).

  4. Enter Dynamic Field Values (if applicable)
    If the Product Definition has any dynamic custom fields, you'll be prompted to enter values at print time. 

  5. Set Quantity and Print

    • If no dynamic fields are required, simply enter the number of tags to print.

    • Review all details and confirm the print job


Step-by-Step Guide to Printing Tag

1. Launch the Printing Workflow

From the Home menu, tap Print Tags to open the Print Menu. Then tap Print Tags again to begin the workflow.


2. Select a Product Definition

Use the dropdown to select the Product Definition you want to print tags for.

Once selected, you’ll see a summary of the Product Definition, including:

  • Name and description

  • Type (SGTIN-96 or Pro Tag)

  • A list of any associated static and dynamic custom fields

From this screen, you can:

  • Tap the pencil icon to edit the Product Definition

  • Tap Create New to define a new Product Definition

  • Tap the Cloud Sync button if you've made changes on another device or the web app and want to refresh your local list

When ready, tap Select to proceed.


3. Choose a Label Design

Select the label template you want to use from the dropdown menu.

Once selected, you’ll see details for the label design, including:

  • Name and description

  • Label dimensions

  • Preview image of the layout

If you've recently modified your label designs or created new ones from another device, tap the Cloud Sync button to refresh your list.
Tap Select when you're ready to continue.


4. Configure Print Options

This screen allows you to review and adjust key print settings, including:

Select Printer

To change the selected printer, tap the edit icon next to the printer name and choose the correct device from the list.

Post Print Actions

Tap the edit icon to configure what happens after the tags are printed. You can choose from:

  • No Action – The default; no additional processing is done.

  • Create File – Creates a new file and adds all printed tags to it. You’ll be prompted to name the file.

  • Add to File – Appends all printed tags to an existing file of your choice.

For both file options, you can enable an auto-selection feature that remembers your choice and applies it automatically next time you print tags for the same Product Definition. This helps streamline repeated workflows.


Serial Number Options (Advanced)

This optional setting controls how serial numbers are assigned to the tags you print.

  • Cloud Managed (Recommended) – Serial numbers are managed and synced by RFIDLinked across all devices. This prevents duplicate serials and is suitable for most use cases.

  • Increment – Allows you to manually set a starting serial number and increment locally. This is useful for reprints or controlled serialization, but note: duplicate serials are not prevented in this mode.

Once your print options are set, tap Next to continue.


5. Enter Dynamic Field Values

If the selected Product Definition includes dynamically mapped custom fields, you’ll be prompted to provide values for them here.

Key features of this screen:

  • Fields with default values will be pre-filled.

  • A lock icon next to each input lets you remember the last used value, which is helpful when printing multiple tags with shared values.

  • If you're using a device with a built-in 1D scanner, you can pull the trigger to activate the scanner and populate values by scanning barcodes.

If there are no dynamic fields, this screen will be skipped.

At the bottom of the screen, enter the quantity of tags you want to print with the current values.


6. Send to Printer

Once all values are set and you're ready to print, tap Send to Printer.

The app will connect to your selected printer and begin printing the tags.


7. Finish or Continue

After printing completes, you’ll be prompted to choose what to do next:

  • Print More Tags – Returns you to the dynamic field entry screen so you can print additional tags with the same configuration.

  • Finished – Takes you to a summary screen, showing how many tags were printed. If you configured a file action (e.g., Add to File), you’ll also have a shortcut to open that file immediately.


Tags
