Printing RFID Tags using Product Definitions (Desktop Printing)

Printing RFID tags using Product Definitions is a core feature of RFIDLinked. It brings together all the foundational setup you’ve completed - Product Definitions, Custom Fields, and Label Designs - and allows you to generate fully encoded, scannable RFID tags that match your business needs.

This guide provides a walk-through of the printing process on the desktop via the browser, fully explaining each step along the way.  If instead you want to print via the mobile app, check our mobile app printing guide.


Before You Begin

Before you can start printing RFID tags, make sure the following setup steps have been completed:

  1. Install the Print Agent
    You must have the RFIDLinked Print Agent installed and running on your computer.

  2. Add your Printer to Print Agent
    Your printer must be added to the RFIDLinked Print Agent.

  3. Create Product Definitions
    Product Definitions define the item you're printing tags for and must be set up in advance.

  4. Design Your Label Templates
    RFIDLinked provides out of the box label templates that you can use, but we recommend you create or customize these to better suit your Business and use case.

  5. (If Applicable) Bulk Printing
    If you're planning to print large batches of tags, refer to the bulk printing guide.


Overview of the Printing

Here’s a high-level view of the process for printing tags using Product Definitions in RFIDLinked:

  1. Choose your Printer
    Select which printer to use (if more than one is available).

  2. Select a Product Definition
    This defines the item the tag represents, along with any associated static or dynamic data.

  3. Choose a Label Design
    Select from the list of label templates you've created using the Label Designer.

  4. Setup Actions
    Actions are optional, but allow you to automatically add any printed tags to one or more Files for easier management/organization of your tags.

  5. Enter Tag Data for Dynamic Field Values (if applicable)
    If the Product Definition has any dynamic custom fields, you'll be prompted to enter values at print time. 

  6. Set Quantity and Print

    • If no dynamic fields are required, simply enter the number of tags to print.

    • Review all details and confirm the print job


Step-by-Step Guide to Printing Tag

1. Launch the Printing Workflow

From the left side navigation menu, click Print Tags.


2. Select your Printer

If you have the Print Agent installed and running, you will be presented with a list of all your setup printers.  From the list of printers, click the printer you wish to use and then click the Select Printer button.

If you do not have the Print Agent running, you will instead be shown instructions on how to download and install the Print Agent.  If you already have installed the Print Agent but it is not currently running, you can either manually open it, or click the link to automatically launch it. 


2. Select a Product Definition

Select the Product Definition you wish to print tags for using the list on the left hand side.  

Once selected, you’ll see a summary of the Product Definition, including:

  • Name and description

  • Type (SGTIN-96 or Pro Tag)

  • A list of any associated static and dynamic custom fields

From this screen, you can:

  • Click the Edit button to edit the Product Definition.

  • Click the Refresh button if you've made changes to the Product Definition want to refresh your local view.

When ready, click Next to proceed.


3. Choose a Label Design

Select the label template you want to use from the dropdown menu.

Once selected, you’ll see details for the label design, including:

  • Name and description

  • Preview image of the layout with Label dimensions

  • A list of the components used on the label and their values.

  • Any potential problems with the selected label.


If there are any potential issues with the selected Product Definition and Label Design pair, they will be displayed here.  For example if your selected label design includes a Custom Field which is not configured for your selected Product Definition, it will display a warning that no value will be present when the label is printed.  In the below example, because the Color custom field is not setup for the Product Definition, no value will be printed on the label for it.  

Even if a warning is present for the selected Label Design, you can still proceed to print tags using it.  It is meant to help provide an indication why a printed label may look different than expected in certain situations.


Click Next when you're ready to continue.


4. Configure Print Actions

Print Actions are optional, but allow you to automatically add your printed tags to one or more Files when they are printed.  You have two options: Add to existing file and Create new file.

You also have the option to Remember Action which simplifies the process of printing tags in the future by automatically setting up this action the next time you print tags for the same product definition. For example, if you always want the tags for your selected Product Definition to go onto a specific file dedicated to it, or want to maintain a "master inventory" file.

Add to existing file
This option allows you to select from a list of already existing files within your account for your printed tags to be added onto.  After selecting the file you wish to use, details about that file will be shown.

Create new file
If you want to add your tags to a file which does not exist yet, you can use this option to in-line create the file.  Provide a name, description, and how you would like the file to be shared within your account.

Once your print actions are set, click Next to continue.


5. Enter Dynamic Field Values

If the selected Product Definition includes dynamically mapped custom fields, you’ll be prompted to provide values for them here.

Key features of this screen:

  • Fields with default values will be pre-filled if no value is provided.

  • A lock icon next to each input lets you remember the last used value, which is helpful when printing multiple tags with shared values.

  • A live preview of the label is shown on the right, updating as you change values if they're displayed.

At the bottom of the screen, enter the quantity of tags you want to print with the current values.


Highlighting components on the label will show you where the value for that component comes from.



6. Send to Printer

Once all values are set and you're ready to print, tap Send to Printer.

The app will connect to your selected printer and begin printing the tags.


7. Finish or Continue

After printing completes, you’ll be prompted to choose what to do next:

  • Print More Tags – Returns you to the dynamic field entry screen so you can print additional tags with the same configuration.

  • Finished – Takes you to a summary screen, showing how many tags were printed. If you configured a file action (e.g., Add to File), you’ll also have a shortcut to open that file immediately.
